// Why Migrate

Why businesses leave QuickBooks

›

QuickBooks pricing keeps climbing

QuickBooks Online Advanced is now $235/month for 25 users. Zoho Books Ultimate includes unlimited users (org-based pricing) with comparable features at a lower rate.

›

Payroll and time-tracking are add-ons

QuickBooks Payroll requires a separate subscription starting at $45/month + $6/employee. Zoho Books integrates with Zoho Payroll natively.

›

CRM is a separate product

QuickBooks has no built-in CRM. Connecting QBO to Salesforce or HubSpot requires third-party connectors. Zoho Books connects natively to Zoho CRM.

›

Limited inventory management

QuickBooks inventory is basic. If you manage products, kits, or warehouses, you'll outgrow QBO quickly. Zoho Books connects directly to Zoho Inventory for full warehouse management.

// What You Gain

What you get with Zoho Books

01

1099 and US tax compliance

Zoho Books USA handles 1099 reporting, federal and state sales tax calculations, and integrates with TaxJar for automated sales tax across all US states.

02

Bank feeds for all major US banks

Connect Chase, Bank of America, Wells Fargo, Citi, Capital One, and most credit unions via bank feeds. Transactions auto-categorise and reconcile.

03

Native Zoho CRM integration

When a deal closes in Zoho CRM, a sales order and invoice are created in Zoho Books automatically. No manual data entry, no sync delays.

04

Project billing and time tracking

Zoho Books includes project-based billing with time tracking built in — charge clients by hour or milestone without a separate subscription.

// Migration Process

How the migration works

Typical timeline: 1–2 weeks

01

QuickBooks export

We export your chart of accounts, customer and vendor lists, open invoices, open bills, and item list from QuickBooks Online. We also export bank reconciliation data and transaction history for your chosen lookback period.

02

Zoho Books USA setup

We configure your Zoho Books org: chart of accounts, sales tax rates by state, payment terms, bank accounts, and invoice templates before any data is imported.

03

Contacts and items import

Customers and vendors are imported with their addresses, payment terms, and 1099 status. Your product and service list is imported with the correct tax rates applied.

04

Open balances and outstanding documents

Open invoices and bills as of your migration date are imported. Opening account balances are entered to match your QuickBooks balance sheet exactly.

05

Bank feed connection & go-live

We connect your bank accounts and credit cards via bank feeds, run a final reconciliation check, and hand over to your bookkeeper or accountant with a training session.

// FAQ

Common questions about QuickBooks → Zoho Books

Does Zoho Books handle US sales tax?

Yes. Zoho Books USA calculates sales tax by state and county. For businesses selling in multiple states, we recommend connecting Zoho Books to TaxJar or Avalara for automated nexus-based tax calculation.

Can we migrate QuickBooks Desktop (not Online)?

Yes. QuickBooks Desktop exports to IIF and Excel formats which we use for migration. The process takes slightly longer than QBO migrations due to data format differences.

What about our QuickBooks accountant?

Zoho Books has an accountant access feature — you can invite your accountant as a user with read and journal entry permissions. Many US accountants are familiar with Zoho Books.

Do we need to migrate all history?

No — we recommend migrating outstanding invoices, bills, and the opening balance as of your migration date. Historical data can be exported from QuickBooks as a PDF archive.

What happens to our recurring transactions in QuickBooks?

We document all recurring invoices and bills in QuickBooks and recreate them as recurring templates in Zoho Books before go-live.
