Is Zoho One Worth It for Indian Businesses? An Honest Assessment
Zoho One is Zoho's all-in-one bundle: 45+ apps covering CRM, accounting, HR, helpdesk, marketing, projects, and more — for a single per-employee price. On paper, it sounds like an obvious deal. In practice, the "all employees" requirement is what makes the calculation interesting.
This post gives you a real assessment: what Zoho One includes, when the math works in your favour, and when you're better off buying individual apps.
What Zoho One Costs
₹1,994/employee/month (billed annually, as of 2026, India pricing)
The key word is "employee" — not "user." Unlike individual Zoho apps where you pay per active user, Zoho One requires a license for every person in your company, whether they use Zoho or not.
For a 20-person company: ₹1,994 × 20 × 12 = ₹4,78,560/year
What's Included
Zoho One includes access to all of these (among others):
Sales & CRM: Zoho CRM (Enterprise tier), Zoho SalesIQ, Zoho CRM Plus features
Finance: Zoho Books (Professional), Zoho Expense, Zoho Inventory, Zoho Invoice, Zoho Subscriptions
HR & People: Zoho People (HRMS), Zoho Payroll (India-specific), Zoho Recruit, Zoho Cliq
Marketing: Zoho Campaigns, Zoho Marketing Automation, Zoho Social, Zoho Survey, Zoho Backstage
Support: Zoho Desk (Professional), Zoho SalesIQ
Productivity: Zoho Projects, Zoho Sprints (agile), Zoho WorkDrive, Zoho Writer, Zoho Sheet, Zoho Show
Developer: Zoho Creator (low-code app builder, 5 apps), Zoho Analytics (20 users), Zoho Flow (workflow automation)
Communications: Zoho Cliq (Slack alternative), Zoho Meeting, Zoho Mail (5GB/user)
When the Math Works in Your Favour
Do the calculation: what would you pay for the Zoho apps your business actually needs, bought individually?
Example — 20-person company using CRM, Books, Desk, Campaigns, Projects:
| App | Individual cost (20 users) | |---|---| | Zoho CRM Professional | ₹2,100 × 20 × 12 = ₹5,04,000 | | Zoho Books Professional | ₹1,499/month (org-level) = ₹17,988 | | Zoho Desk Standard | ₹1,400 × 5 (support agents) × 12 = ₹84,000 | | Zoho Campaigns Standard | ₹750/month (5k contacts) = ₹9,000 | | Zoho Projects Premium | ₹400 × 20 × 12 = ₹96,000 | | Total individual | ₹7,10,988/year | | Zoho One (20 employees) | ₹4,78,560/year | | Saving | ₹2,32,428/year |
In this scenario, Zoho One saves ₹2.3 lakh per year and also gives you HR, payroll, analytics, and a dozen other apps you haven't paid for.
The math works in your favour when:
- You use 3+ Zoho apps (especially CRM or Books at mid-to-upper tier)
- Most employees use at least one Zoho product
- You're growing and expect to add more apps over time
When Individual Apps Make More Sense
Your company has a lot of non-Zoho users: If you have a 50-person company but only 5 people use software (a small sales team and a bookkeeper), paying Zoho One for 50 employees to serve 5 users makes no sense. Buy CRM for 5 and Books for 1.
You only need one or two apps: If you just want Zoho Books and nothing else, the Zoho Books Professional plan is ₹1,499/month regardless of company size. Zoho One for even a 10-person company costs ₹23,928/month. Don't pay for Zoho One for one app.
You're a very early-stage startup: Zoho offers a free tier for CRM (3 users) and Books (free plan). Start free, upgrade individual apps as you grow, and consider Zoho One when you're 15+ people using 3+ apps.
What Makes Zoho One Particularly Good for Indian Businesses
Zoho Payroll: India-specific payroll with PF, ESI, PT, and TDS calculations. Payroll software in India that's accurate costs ₹300–500/employee/month from other vendors. Getting it included in Zoho One is a real value-add.
Zoho People (HRMS): Leave management, attendance (with biometric integration options), performance reviews, and employee self-service. Standalone HRMS products for Indian compliance cost ₹200–500/employee/month.
Zoho Creator: Build custom internal tools and workflows without a developer. For businesses with unique operational processes, this alone can justify the subscription.
Data sovereignty: All Zoho data for Indian accounts is stored in data centres within India (Zoho IN instance). For businesses with data residency requirements, this matters.
Practical Tips Before Buying
1. Audit your current software spend. List every SaaS subscription across sales, finance, HR, and marketing. You'll often find that switching to Zoho One and replacing 4–5 current tools covers most of the cost.
2. Trial the apps you're unsure about. Zoho One comes with a 15-day trial. Use it to validate that Zoho People can handle your leave management before committing.
3. Plan the rollout. Don't try to deploy 45 apps at once. Prioritise by department: start with CRM + Books (biggest operational impact), then add HR, then marketing. A phased approach avoids change fatigue.
4. Get implementation support for the first 60 days. Zoho One's breadth is both its strength and its risk. Without proper configuration, you'll use 3 apps and ignore the rest. A partner who has deployed Zoho One before can set up the integrations between apps (CRM ↔ Books ↔ Desk) that make the suite genuinely powerful.
The Verdict
Zoho One is worth it for Indian businesses with 15+ employees who are already using or planning to use multiple Zoho products. The math becomes compelling at 3+ apps, and the India-specific features (payroll, GST, INR) make the suite genuinely functional, not just a sales pitch.
It's not worth it if you have a small team using one or two apps, or if you have a large headcount but only a handful of Zoho users.
