WhatsApp Integration with Zoho CRM — 2026 Setup Guide

WhatsApp is not a nice-to-have for Indian sales teams — it's the primary channel. Deals close on WhatsApp. Follow-ups happen on WhatsApp. If your CRM doesn't have a WhatsApp integration, your sales conversations are invisible to your pipeline. This guide covers the official WhatsApp Business API setup, Zoho CRM's native integration, automated messaging from CRM workflows, and an honest comparison of third-party tools (WATI, Interakt) versus Zoho's built-in capability.


Understanding WhatsApp Business API (Before You Start)

There are three tiers of WhatsApp for business use. Getting this wrong is expensive.

WhatsApp (personal): No API access. Cannot integrate with any CRM. Cannot send bulk messages. This is what 99% of Indian businesses start with, and it works fine until you have more than one sales rep.

WhatsApp Business App: A mobile app for small businesses. Single user per phone number. You can link up to 4 linked devices, but there's no CRM API. You cannot automate messages or log conversations to a CRM.

WhatsApp Business Platform (formerly WhatsApp Business API): The official API access provided by Meta. Required for CRM integration. Requires a Business WhatsApp number, a Meta Business account, and access through either a direct Meta API connection or an approved Business Solution Provider (BSP) like Zoho, WATI, Interakt, Twilio, etc.

The key constraint: You cannot use the same phone number for both the WhatsApp Business App and the WhatsApp Business Platform. Once you register a number with the API, it is no longer usable on the app. Plan your number migration before starting.


Step 1 — Set Up WhatsApp Business Platform Access

Option A — Through Zoho's BSP Access (Recommended for Zoho CRM users)

Zoho is a registered Meta Business Solution Provider. You register your WhatsApp Business number directly through Zoho, which means you don't need a separate BSP account.

  1. In Zoho CRM, go to Setup → Channels → WhatsApp
  2. Click Get Started — this initiates the Meta embedded onboarding flow inside Zoho CRM
  3. You'll be redirected to Facebook/Meta's OAuth flow. Log in with your Meta Business Manager account
  4. In the Meta flow: select or create your Business Account, verify your business phone number (OTP to the number), and create your WhatsApp Business Profile (display name, business category, description, logo)
  5. Meta reviews your Business Account. For standard verification, approval takes 2–5 business days. Green-tick verification (for brands) takes longer
  6. Once approved, the WhatsApp channel appears as active in Zoho CRM → Setup → Channels → WhatsApp

Option B — Through a Third-Party BSP (WATI, Interakt, Twilio)

If you already have a WhatsApp Business Platform subscription with a BSP, you can connect it to Zoho CRM via Zoho Flow or the Zoho CRM API. This is covered under Method 3 below.


Step 2 — Configure WhatsApp in Zoho CRM

Once the WhatsApp channel is active:

  1. Go to CRM → Setup → Channels → WhatsApp → Manage
  2. Assign the number to your Zoho CRM workspace
  3. Set operating hours — outside these hours, an automated response can be sent
  4. Create message templates — all proactive outbound messages on WhatsApp Business Platform must use pre-approved templates. Templates are submitted to Meta for approval (typically 24 hours for standard templates)

Template categories:

  • Utility: Transactional messages — booking confirmations, order updates, invoice reminders
  • Marketing: Promotional messages — offers, campaigns, product announcements
  • Authentication: OTP messages (usually not relevant for CRM use)

Marketing templates require an opt-in consent record for each contact. Utility templates have more relaxed opt-in requirements.

Creating a message template in Zoho CRM:

  1. Go to Setup → Channels → WhatsApp → Templates → New Template
  2. Select category (Utility or Marketing)
  3. Write the template body. Use {{1}}, {{2}} for variables (personalisation fields):
    • Example: Hi {{1}}, your consultation with {{2}} is confirmed for {{3}}. Join here: {{4}}
  4. Add a header (optional): text, image, or document
  5. Add buttons (optional): Call-to-Action (link or phone number) or Quick Reply buttons
  6. Submit for Meta approval

Variables are mapped to CRM fields when the template is used in a workflow.


Step 3 — Two-Way Chat from Zoho CRM

Once the channel is set up, your sales reps can chat with contacts over WhatsApp directly from the CRM record.

Where the chat appears:

In Zoho CRM, open any Contact record. A new WhatsApp tab appears in the Related List section (bottom of the record). Click it to open the chat thread. All messages — incoming and outgoing — appear in this thread and are automatically logged to the contact's activity timeline.

Chat assignment: Incoming WhatsApp messages create a conversation in Zoho CRM's Conversations view (similar to Zoho Desk tickets). You can assign conversations to specific reps or use round-robin assignment.

Within the chat window, reps can:

  • Send free-form text (only within 24 hours of the contact's last message — Meta's "session window" rule)
  • Send approved templates (at any time, no session window restriction)
  • Send documents, images, and PDFs
  • See the contact's CRM data (Name, Company, Deal Stage) in a side panel

The 24-hour session window rule: This is Meta's policy, not a Zoho limitation. If a contact sends you a message, you have a 24-hour window to reply freely. After 24 hours, you can only send pre-approved templates. This applies to all WhatsApp Business Platform users, regardless of which BSP or tool you use.


Step 4 — Automated WhatsApp Messages from CRM Workflows

This is where the integration becomes a sales automation tool, not just a messaging app.

Setting up a WhatsApp automation in Zoho CRM:

  1. Go to CRM → Setup → Automation → Workflow Rules
  2. Create a new workflow. Example: Send WhatsApp on lead assignment
    • Module: Leads
    • Trigger: Record Created
    • Condition: Lead Source = Website
  3. Under Instant Actions, click Add Action → WhatsApp Notification
  4. Select your WhatsApp number and the approved template
  5. Map template variables to CRM fields:
    • {{1}} → Lead: First Name
    • {{2}} → Lead: Assigned User Name
    • {{3}} → (calculated date) Meeting date from custom field

Common automations for Indian sales teams:

Lead acknowledgement (within 5 minutes of lead creation): Template: Hi {{1}}, thanks for reaching out to {{2}}. Our team will call you within 30 minutes. To speak to us now, reply to this message.

Meeting reminder (24 hours before scheduled meeting): Template: Hi {{1}}, a reminder for your call tomorrow at {{2}} with {{3}}. Reschedule here if needed: {{4}} Triggered by: Scheduled workflow on Activity record, 24 hours before Due Date

Invoice due reminder: Template: Hi {{1}}, invoice #{{2}} for ₹{{3}} is due on {{4}}. Pay here: {{5}} Triggered by: Scheduled workflow on Invoice record, 3 days before due date (use Zoho Books → Zoho CRM integration to sync invoice data)

Third-Party Tools: WATI vs Interakt vs Native Zoho

Many businesses in India use WATI or Interakt for WhatsApp CRM features before discovering Zoho's native integration. Here's an honest comparison.

WATI

What WATI does well:

  • Shared team inbox with assignment and tagging — more mature than Zoho CRM's Conversations view
  • WhatsApp chatbot builder (no-code flow builder for automated responses)
  • Broadcast campaigns to opted-in contacts
  • Contact management within WATI itself

WATI's limitations for Zoho CRM users:

  • WATI is a separate system — you're managing contacts in two places unless you build a sync
  • WATI → Zoho CRM sync requires Zoho Flow or a custom webhook setup (WATI supports outgoing webhooks)
  • WATI charges per active user AND per conversation. For Indian SMBs sending hundreds of messages monthly, costs add up to ₹8,000–₹25,000/month depending on volume
  • WATI's conversation data does not automatically appear on Zoho CRM contact timelines without custom integration

Interakt

What Interakt does well:

  • Has a native Zoho CRM integration (one of the few WhatsApp BSPs that does)
  • Shopify integration for e-commerce order notifications on WhatsApp
  • Catalogue sharing via WhatsApp

Interakt's limitations:

  • The Zoho CRM integration syncs contacts but has limited two-way field mapping
  • Interakt's broadcast and template tools are similar to WATI's but pricing is comparable
  • Support quality is inconsistent for non-enterprise customers

Native Zoho CRM WhatsApp

When native Zoho is the right choice:

  • Your team manages everything in Zoho CRM already — no separate inbox to monitor
  • You want WhatsApp conversation history on the contact timeline without any sync
  • You need WhatsApp to trigger CRM workflows natively
  • You're on Zoho CRM Enterprise or Ultimate (WhatsApp is included; no per-conversation fee from Zoho's side — you pay Meta's conversation charges directly)

When native Zoho is not enough:

  • You need a chatbot for initial lead qualification before the conversation reaches a human
  • You run large broadcast campaigns (100+ contacts per day) — Zoho's broadcast capability is more limited than WATI/Interakt
  • You need WhatsApp catalog features (product browsing via WhatsApp)

Meta's conversation charges (the cost you can't avoid regardless of which tool you use):

Meta charges per 24-hour conversation window, not per message. Rates for India (as of September 2026):

  • Business-initiated Marketing conversation: ~$0.0125 per conversation (~₹1.04)
  • Business-initiated Utility conversation: ~$0.0040 per conversation (~₹0.33)
  • User-initiated (customer messages first): ~$0.0040 per conversation

For most Indian SMBs sending 500 WhatsApp messages per month, Meta's charges are ₹500–₹1,500/month — negligible compared to WATI or Interakt subscription fees.


India-Specific Use Cases

Field sales teams (manufacturing, distribution, FMCG): Sales reps on the road can't always access the CRM web interface. With WhatsApp integration, customers reply to rep messages and those replies are logged in CRM automatically. Managers have visibility into sales conversations without calling reps.

Real estate: Property inquiries in India heavily start on 99acres, MagicBricks, or housing.com. These portals can be set up to forward lead details to a Zoho CRM webhook. The CRM workflow immediately sends a WhatsApp template to the lead: "Hi Rohit, we saw your inquiry for 3BHK in Whitefield. Our advisor will call you in 20 minutes." Response rates are significantly higher than SMS or email for initial contact.

Education and coaching businesses: Admission inquiries, fee reminders, and exam notifications are all natural WhatsApp use cases. The CRM stores the student or parent record; WhatsApp is the channel.

B2B services with long sales cycles: Monthly check-ins with dormant leads, quarterly business reviews scheduled via WhatsApp, and contract renewal reminders are all automatable from Zoho CRM workflows.


Setup Checklist

  • [ ] Meta Business Manager account created and phone number registered
  • [ ] WhatsApp channel connected to Zoho CRM via embedded Meta onboarding
  • [ ] At least 2–3 Utility templates created and approved (lead acknowledgement, meeting reminder, follow-up)
