How Zoho PhoneBridge Works
Zoho uses a framework called PhoneBridge to connect cloud telephony providers to Zoho CRM, Zoho Desk, and other Zoho apps. PhoneBridge is not a telephony provider itself — it's the integration layer that sits between your telephony provider and the Zoho platform.
When a call happens, PhoneBridge handles:
- Surfacing an incoming call pop-up inside Zoho CRM (with the caller's contact record, if matched)
- Initiating an outbound call when a rep clicks a phone number inside CRM
- Logging the call as an activity on the matched record, with duration, timestamp, and recording link
- Triggering automation rules post-call (e.g., creating a follow-up task after a call ends)
PhoneBridge is available on Zoho CRM's Standard plan and above. The free tier does not support telephony integration.
Supported Telephony Providers
India-Based Providers
Exotel
Exotel is the most widely deployed cloud telephony platform in India and has a native, first-party integration with Zoho CRM via PhoneBridge.
What Exotel + Zoho CRM gives you:
- Click-to-call from any phone number field in Zoho CRM
- Inbound call pop-up that shows the caller's CRM record (if the number is matched to a Lead or Contact)
- Automatic call logging: duration, direction (inbound/outbound), outcome, and a link to the call recording hosted on Exotel's platform
- Virtual numbers for teams — each rep can be assigned a dedicated number or all share a business number
Setup: In Zoho CRM, go to Settings → Channels → Telephony → + Add Phone Bridge. Select Exotel from the list. You'll need your Exotel API Key, API Token, and Account SID (available in your Exotel dashboard). After connecting, assign agents to Exotel agents from the Telephony settings.
Exotel's pricing is usage-based. Outbound calls within India run at approximately ₹0.65–₹1.20/minute depending on your plan.
Ozonetel
Ozonetel (CloudAgent) is another strong India-native option, popular with contact centres. The Zoho PhoneBridge integration supports both inbound and outbound.
Ozonetel's differentiator over Exotel for CRM-heavy teams is the real-time disposition screen — after a call ends, the agent is prompted to tag the outcome (interested, follow-up, not reachable, etc.) and this disposition maps directly to Zoho CRM fields on the call log record.
Setup is the same PhoneBridge route — Ozonetel provides integration credentials from their CloudAgent portal. Note: Ozonetel requires a minimum number of seats (typically 3–5 depending on the plan), which makes it less suited for very small teams.
MyOperator
MyOperator is popular with SME sales teams in India because of its simpler onboarding and lower minimums. The Zoho CRM integration covers click-to-call and call logging but has fewer customisation options than Exotel or Ozonetel. If your team is small (2–5 reps) and you want basic telephony-CRM connectivity without a contract, MyOperator is a practical starting point.
Knowlarity
Knowlarity's SuperReceptionist product integrates with Zoho CRM and is commonly used in healthcare, real estate, and education verticals in India. The setup is similar to Exotel — API credentials entered in PhoneBridge settings. Knowlarity supports IVR-to-CRM routing, meaning calls can be routed to different Zoho CRM agents based on IVR input.
International Providers
RingCentral
RingCentral has a native Zoho CRM integration and is the preferred option for teams with US or UK operations. It supports click-to-call, call logging, and recording sync. If your team is distributed across India and North America or Europe, RingCentral gives you a single telephony platform across all geographies.
The RingCentral integration installs as an extension inside Zoho CRM — a sidebar panel appears within the CRM interface where reps manage calls without switching tabs.
Twilio
Twilio is not a ready-to-use PBX but a programmable telephony API. It appears in the Zoho Marketplace but the integration requires custom Zoho Flow or Deluge configuration to map call events to CRM records. This is appropriate for teams with a developer resource who want granular control over routing and logging behaviour. For standard sales telephony, Exotel or RingCentral is simpler.
Aircall
Aircall has a native Zoho CRM integration that is particularly clean. The Aircall app runs as a browser sidebar alongside Zoho CRM, and the integration supports:
- Contact matching with automatic CRM record pop-up on inbound
- Tagging calls with custom outcome tags that map to Zoho CRM activity fields
- Pushing call notes written in Aircall directly to the CRM call log
Aircall is priced in USD and is better suited for India-based teams serving international customers (UAE, UK, USA) rather than for high-volume domestic India calling where Exotel is cheaper.
Setting Up Click-to-Call
Once a telephony provider is connected via PhoneBridge, click-to-call works on any phone number field rendered in Zoho CRM — Lead phone, Contact mobile, Deal contact number.
To make a call:
- Open any Lead, Contact, or Deal record
- Hover over the phone number field — a phone icon appears
- Click it — Zoho CRM initiates the call via your connected provider
- Your desk phone, softphone, or mobile rings first (the "agent leg"), then the system dials the customer
The agent leg depends on your provider configuration. With Exotel, you configure whether the agent receives the call on their mobile, a desk phone, or a browser-based softphone (WebRTC). For remote teams, the browser softphone is the most common setup — it requires no physical phone hardware.
Inbound Call Pop-Ups
When an inbound call arrives on your connected number, Zoho CRM displays a pop-up notification in the bottom-right corner of the screen. This pop-up shows:
- Caller's phone number
- Matched Lead or Contact name (if the number exists in Zoho CRM)
- Buttons: Answer, Decline, View Record
If the number matches a record in CRM, clicking "View Record" opens that Lead or Contact while the call is in progress. If it's an unknown number, Zoho CRM still shows the pop-up with the number and an option to create a new Lead directly from the pop-up.
For inbound calls to a shared business number routed through an IVR, the pop-up fires for the agent the call is assigned to after IVR selection.
Enabling pop-ups: Go to Settings → Channels → Telephony. Under your connected provider, enable "Show Call Notifications". Agents must also allow browser notification permissions for Zoho CRM.
Auto-Logging Call Recordings
Call recording logging is the most valuable part of this integration for sales managers. Every completed call (above a minimum duration threshold you configure) is logged as a Call activity on the matched CRM record. The activity includes:
- Call direction (inbound/outbound)
- Duration
- Date and timestamp
- Recording URL (hosted on your telephony provider's storage)
- Agent who handled the call
Important: Zoho CRM does not host call recordings — it stores a link to the recording on your telephony provider's server. Access to the recording requires authentication with the telephony provider, or the provider generates a public URL. Configure your provider's recording retention policy (typically 90 days by default for most Indian providers; can be extended).
For compliance, especially for B2B businesses, enable call recording consent in your IVR — play a message informing callers that the call may be recorded before routing to an agent.
Missed Call Automation
Missed calls on an integrated telephony system can trigger Zoho CRM workflow rules. This is where the integration becomes genuinely useful for follow-up discipline.
Workflow rule for missed inbound calls:
- Go to Settings → Automation → Workflow Rules → + New Rule
- Select module: Calls
- Trigger condition: Record is Created
- Filter criteria: Call Direction = Inbound AND Call Status = Missed
- Action: Create a Task — "Call back [Contact Name]" — due 30 minutes from now, assigned to the call owner
This creates a follow-up task for every missed inbound call automatically. The rep opens their Task list and sees exactly who to call back.
You can extend this further:
- If the call is from an unknown number (no CRM match): create a Lead record with the phone number and a note "Inbound missed call — unknown lead"
- If the missed call is on a deal in Negotiation or Proposal stage: escalate by also notifying the sales manager via email
Call Analytics in Zoho CRM
Once calls are being logged, reporting becomes straightforward. Zoho CRM's reports module can produce:
Call Volume Report: Go to Reports → + New Report → Module: Calls. Group by Owner (rep), filter by date range. Shows total calls, average duration, and breakdown by inbound vs outbound per rep.
Connection Rate Report: Calls where Status = Completed ÷ Total calls, grouped by rep. This shows which reps are actually reaching prospects versus leaving voicemails.
Call-to-Deal Correlation: This requires a custom report joining the Deals module with the Calls module via the Contact. It answers: how many calls does it take to close a deal in your pipeline? Build this after you have 60+ days of data.
Common Issues and Fixes
Call pop-ups not appearing:
- Check that the browser notification permission is granted for crm.zoho.in (or crm.zoho.com)
- Check that the agent's extension is mapped in the PhoneBridge agent settings — unmapped agents won't receive pop-ups
Calls not being logged:
- Most providers only log calls above a minimum duration (e.g., Exotel defaults to 5 seconds). Adjust the minimum duration threshold in the integration settings if very short calls need to be logged.
- Verify the agent making the call has a matched agent account in both Zoho CRM and the telephony provider
Recording links returning 403 errors:
- The recording URL has expired (most providers set a 30–90 day expiry on signed URLs)
- Solution: configure the telephony provider to push recordings to your own S3 bucket or Google Cloud Storage and generate permanent links
