
Zoho Payroll India Review 2026: Is It Worth It for Indian Businesses?
Indian payroll is genuinely complex. You're dealing with PF, ESI, PT (Professional Tax, which varies by state), TDS under Section 192, LWF (Labour Welfare Fund), gratuity, and a salary structure that typically has a dozen components (Basic, HRA, Special Allowance, LTA, Medical, etc.) each with different tax implications.
Getting this right every month — and generating the compliance reports on time — is non-trivial. Zoho Payroll is Zoho's India-specific payroll product. This review tells you what it does well, where it has gaps, and whether it's the right choice for your business.
What Zoho Payroll Covers
Salary Structure
Zoho Payroll supports multi-component salary structures. You can define earnings (Basic, HRA, DA, Conveyance, Special Allowance, LTA, Medical, Bonus) and deductions (PF, ESI, PT, TDS, Loan EMI, Advance recovery) as separate components with custom calculation rules.
You can apply tax-exemption settings per component — for example, marking HRA as partially exempt under Section 10 based on the standard HRA exemption formula (actual HRA received, 50% of basic for metro cities, or actual rent paid minus 10% of basic — whichever is lowest).
PF (Provident Fund)
Zoho Payroll calculates Employer and Employee PF contributions (12% each, on basic + DA, subject to the ₹15,000 wage ceiling). It generates:
- Monthly PF ECR (Electronic Challan-cum-Return) in the format required by EPFO
- Form 3A (individual member contribution details)
- Form 6A (annual consolidated statement)
ESI (Employees' State Insurance)
For employees with gross salary ≤ ₹21,000/month, Zoho Payroll calculates ESI contributions (Employer: 3.25%, Employee: 0.75%) and generates the ESI contribution statement and half-yearly returns.
Professional Tax
PT rates vary by state. Zoho Payroll has PT slabs pre-configured for all Indian states. You assign each employee's work state and Zoho applies the correct monthly deduction automatically.
TDS (Section 192)
Income tax deducted at source from salary is calculated based on the employee's salary, declared investments (Form 12BB), and applicable tax regime (Old or New). Zoho Payroll supports both regimes, lets employees declare investments online, and generates:
- Form 16 (Part A and Part B) for the annual TDS certificate
- 24Q quarterly returns for filing with TRACES
Payslips
Digital payslips are generated automatically each month and can be emailed to employees or accessed via the employee self-service portal.
Employee Self-Service Portal
Employees get access to a web portal where they can:
- View and download payslips
- Declare investments for Form 12BB (LIC premiums, PPF, NSC, home loan, etc.)
- Apply for reimbursements (Medical, LTA)
- View Form 16 at year end
- Update bank account details
This reduces HR overhead significantly — you don't need to manually collect investment declarations via email or paper forms.

PF employer contribution, ESI employer contribution, and salary expense are booked to the correct ledger accounts automatically. Zoho People integration: Leave balances from Zoho People feed into payroll for LOP (Loss of Pay) calculations. You don't manage leave and payroll separately — they're synchronised.

Limitations to Know
No direct biometric integration: Zoho Payroll doesn't connect directly to biometric attendance devices. You need Zoho People for attendance management, which then feeds into Payroll. If you use a standalone biometric system, you'll need to import attendance data.
Limited flexi-benefit structuring for complex setups: For companies with complex reimbursement workflows, the built-in flexi-benefit handling is functional but less configurable than Keka or Greytip for very large organisations.
Statutory compliance updates: Zoho generally updates PT rates and compliance rules promptly, but there can be a short lag when new budget changes affect TDS slabs. Monitor Zoho's release notes around budget season.
Who Should Use Zoho Payroll
Use Zoho Payroll if:
- You're already using Zoho Books (the accounting integration is uniquely valuable)
- You're on Zoho One (it's included, so there's no reason not to)
- You have under 200 employees and need straightforward Indian payroll compliance
Consider alternatives if:
- You have complex multi-state operations with significant workforce management needs (Keka is stronger here)
- You want a platform with stronger HRMS features as the primary focus (Darwinbox, Keka)
- You're a large enterprise with 1,000+ employees (specialist enterprise payroll vendors are more appropriate)
